Microsoft is changing how Windows talks to printers, and it’s the kind of change that stays invisible right up until the morning someone can’t scan an invoice. Here’s what’s actually happening, in plain terms, and what it means for your office.

What’s Changing

Windows is moving away from the traditional printer driver model — the software each manufacturer writes so Windows knows how to talk to its specific machine — toward a single, built-in driver that talks to printers using a standard protocol instead. Microsoft calls this Windows Protected Print Mode. The new model only works with printers that carry Mopria certification, an industry standard that most major printer manufacturers, including Ricoh, Epson, and Brother, already build into their current equipment.

The reason is security, not convenience. Printer drivers have historically been one of the more exploited parts of Windows — outdated, manufacturer-specific driver code running with high system privileges is a well-known attack path. Removing that code and replacing it with one standard, Microsoft-maintained driver closes a hole that’s existed for years.

The Timeline, Honestly

This isn’t a “your printer stops working next week” situation, and we’re not going to pretend it is. Windows already prefers the new standard driver on new printer installs as of this year, and by July 2027, printer manufacturers’ older drivers will only get security patches — no further functional updates. Any equipment still depending on one of those older drivers at that point is effectively frozen where it is.

That’s close to two years out. Plenty of time to plan for it. Not enough time to ignore it.

The Part Almost Nobody Mentions: Printing and Scanning Fail Separately

Here’s the detail that actually catches offices off guard. Microsoft’s new built-in driver only handles printing. It doesn’t cover scanning or faxing. That means a multifunction printer can be fully certified and keep printing perfectly under the new system while its scan function simply stops appearing — because scanning runs on different software than printing does, and that software isn’t part of what got standardized.

We’ve already seen specific examples of this: certain Brother multifunction models print without issue but lose scanning entirely once the new mode is active. It’s not a hardware failure and it’s not something a reboot fixes — it’s a driver architecture change that treats the two functions completely differently. If your office leans on scan-to-email or scan-to-folder for daily paperwork, this is worth checking now rather than discovering it the hard way.

Who’s Actually Affected

Brand doesn’t predict this — age does. Equipment that’s roughly eight to twelve years old is the group most likely to predate Mopria certification and depend on the older driver model. Plenty of five-year-old machines are already covered. Plenty of ten-year-old machines from good manufacturers simply came out before this standard existed.

The only way to know for certain is to check the specific model, not guess by brand or age alone.

What to Actually Do About It

There are two honest paths, and which one makes sense depends on the machine, not on what’s easiest for us to sell:

If the device is close to end of life anyway, replacing it with Mopria-certified equipment solves this permanently and usually comes with better speed, lower running costs, and full manufacturer support — all machines we currently place at RDS Team are certified.

If the device still has years of useful life left, certified print-management software can bridge the gap without replacing hardware at all, managing the driver compatibility centrally instead of device by device.
