Copier Cost Calculator

Most copier companies will not put a number in front of you until someone has been out to see you.
That is fine when the requirement is complicated and irritating when you are simply trying to work out
whether a copier costs two hundred dollars a month or six hundred. This sizes a machine to the volume
you actually print and shows what it leases for.

How It Picks a Machine

Copiers are sold by speed, and speed is chosen by volume. Put a 25 page-per-minute machine in an
office running twelve thousand pages a month and you will be replacing parts constantly, because you
are asking a small engine to do heavy work. Put a 60 ppm production machine in a four-person office
and you have bought a great deal of speed you will never use.

So it takes your monthly pages, places you in the speed class that suits that load, and shows the
Ricoh at that speed — the color machine if any of your pages are in color, the black and white
machine if none are. The figure is the published lease price for that model, with service, parts and
toner included.

What the Number Cannot See

Three things, and they are the reason it is a starting point rather than a quote. How the
volume is split — twelve thousand pages through one machine is a different proposition
from twelve thousand across four floors. Finishing — stapling, booklets and
hole punching change both the configuration and the price. Peaks — an
accounting firm in April is not having an average month, and the machine has to survive the worst
week rather than the typical one.
